Admission Policy (Private)
Terms and conditions

Payment
Students are required to clear the fees at commencement of classes to avoid inconvenience from the administration. Exceptional cases can be allowed for payment in two installments but student won’t be allowed to study beyond their initial deposit. Students cannot claim refund for tuition once paid. This can be done using any of the following modes:

  1. Direct Deposit – this can be done at the school reception and you’ll be issued a receipt upon making the deposit.
  2. Mobile Money – Payments can be remitted by mobile money to 0700132588 or 0781227712. For this mode of payment remember to -always include the withdrawal charges.
  3. Cheque – Payment can be done in the cheque format and written in the names of Eternity Source of Music Ltd

Attendance

Students are required to attend all their class without missing. The general rule is that students are not allowed to miss classes. Exception to the rule is in the event of an avoidable circumstance where student can only be allowed to reschedule classes subject to the rescheduling

Rescheduling

Rescheduling can only be done once a week and the class rescheduled must be attended in the same week of rescheduling. NB student can only notify administration by phone call. SMS and what’s up is not accepted. Other exceptional cases can only be allowed upon discussion with the school authority.

Missed lessons

Every time you miss a class without informing administration as per the rescheduling policy, the lesson would be forfeited and there would absolutely no refund.

Drug abuse

Students are required to come at the school when he/she is sober ( Not under the influence of drugs and Alcohol)

Instrument/ equipment rule

Students are only allowed access to the musical instruments and equipment related to the course they signed up/enrolled for.

Instability

Force Majeure (war, civil war, armed conflict, terrorist attack, government action, fire, flood, severe weather conditions, pandemic or epidemic or any other matter that is beyond our control). We cannot be liable if a lesson has to be cancelled due to Force Majeure. In this event we will endeavor to resume lessons as soon as possible.

Payment for damaged property

Any willful damage of school property will be charged for.

Food and drinks

Food and drinks are not permitted in the classrooms.

Lessons are weekly once a week and free 30 minutes practice for the rest of the days. The school is closed for all public/bank holidays.

Registration

Students must register with the front desk administrator on arrival. ESOM acknowledges its responsibility for the supervision of students during lessons.

Study breaks

Students that will be away for more than a week should write a letter to the administration clearly detailing the duration of the study break and when they should be expected back to finish the course. Terms and conditions apply.

No change of course

Once a student pays for or chooses a particular instrument/class he/she can’t change to another instrument

Drug abuse

All students are required to come to school when they are sober not under drug influence.

No refund

Should you decide to discontinue your lessons, there will absolutely be no refunds.

Term completion

A student must complete his/her term within the specified period exception the rule is where a student has taken a study break and has notified the administration.

Policy on study breaks
Study breaks happen when a student wants his or lessons to be rescheduled with in a period of more than one week.

PURPOSE

This policy is intended to give guidelines on how study breaks are handled in school

Terms and conditions

Private students

Only private students are allowed to ask for study breaks. Therefore study breaks do not apply to group students.

Money on the account

For a student to request for a study break, he or she must be having money on their account.

Period

A study break should be between a week and three months time. Therefore students are encouraged to ask for study breaks within that range.

Deadline

Once the study break, has elapsed, the student will be given a maximum of one week to resume his or her lessons. Or else the money on the account will start to be earned.

Procedure

Study break letter

The student should write a letter requesting for a study break. The letter should specify the period for the study break.

Grant a study break

The officer responsible will then allow that student a study break and will let the student know when the study break will be elapsing.

NOTE

Students should endeavor that they report back to school for lessons at the end of their study breaks. Whether they have been reminded to come back or no

Graduation Policy
Graduation marks the completion of an education or vocational program

PURPOSE

This policy is intended to give guidelines on which students are allowed to graduate.

Terms and conditions

For students to graduate, they must satisfy the following terms and conditions:

Zero tuition outstanding balance

A student who wishes to graduate must have completed his or her tuition for the year or course

Completed the course

The student who wishes to graduate must have completed his full course at the school.

Full academic results

The student who wishes to graduate must ensure that he or she has full marks or results for all the terms.

Appear on the graduation list

The student who wishes to graduate must ensure that is name is appearing on the graduation list. The list of students to graduate will be pinned up for all students to see.

Graduation requirements

  1. Students will pay a graduation fee of 150,000 Uganda shillings
  2. Students will be required to pay 70,000 for the National Certificate (not a must)
  3. Students must clear with their teachers and administrators so that in case they broke any equipment or lost something they must replace and graduate
  4. Students must obtain a Recommendation from an administrator

NOTE

Upon graduation, the students will be issued with certificates of completion by the school. Students will also be issued with academic transcript

Policy on drug abuse
The purpose of this policy is to give guidelines on how to handle issues of drug abuse at school.

Terms and conditions

Prohibition

Drug abuse is prohibited. Therefore the school shall not entertain any student who uses drugs

Dismissal from school

Once a student is found to on drugs, he or she will be dismissed from school immediately

No refund

Once a student is dismissed from school over the issue of drugs, he or she is not entitled to claim for a refund from the school.

Procedure

Meeting

The student who is found to be on drugs will be advised to invite his or her parent or sponsor or guardian to school.

A meeting will be held with the administrators to discuss the consequences of the student’s bad behavior.

Letter of dismissal

The student will be issued with a letter dismissing him or her from school. This is done to avoid bad peer influence in school.

Policy for students to sit for exams
This policy is intended to give guidelines on which student is allowed to sit for exams at Esom. This is to avoid inconveniences and last minute disappointments to students.

Terms and conditions

For a student to qualify to sit for exams, he or she must satisfy the following requirements.

Payments

A student must have completed his or her tuition before being allowed to do an exam. Therefore students are encouraged to complete their tuition on time to avoid inconveniences and last minute disappointments

Attending lessons

A student must have attended 80% of his or her lessons to qualify to sit for the exams

NOTE

Students should therefore note the following disqualifies one to sit for an exam.

  1. A student that has a pending balance for his/her tuition
  2. A student that has missed two or more lessons before his/her exam
  3. A student that has never appeared for his/her class from the beginning of the term

Procedure

Check the system for any missed lessons

The officer should check the system to ensure that the student has covered 80% of his lessons.

NOTE

Therefore private students should always ensure that they reschedule their lessons whenever they can’t make it for a particular lesson. This is done to avoid having missed lessons.

Check the system for any outstanding balance

The officer should check the system to make sure that the student has no outstanding balance for the tuition.

NOTE

There communication must be made to students reminding them of their outstanding balances in advance before the examination period.

Issue out the exam to the student

The officer is free to issue out an exam to only those students that have satisfied the above terms and conditions.

Policy on Missed Lessons
This policy is intended to give guidelines on how to go about missed lessons for the different categories of students.

Terms and conditions

Group students

Once a group student misses a lesson, then he or she should consider that as a gone case because group students cannot cover up for the missed lessons.

Private students

Private students are allowed to cover up for the missed lessons only if they asked for a reschedule of that particular lesson or if the student sends a study break letter.

No refund

Students should note that once they miss some lessons, they are not entitled to claim for any refund of the tuition.

Procedure

Communication

A private student should communicate that he or she won’t be able to make it for a particular lesson such that this missed lesson can be rescheduled to another day.

Rescheduling

The front desk officer should confirm with the student and the teacher responsible about the rescheduled time and date for the lesson. This can be done by either sending them an SMS or calling them.

Policy on Rescheduling Lessons
This policy is intended to give guidelines on how lessons are to be rescheduled.

Terms and conditions

Communication

A Student can only notify administration by phone call and SMS if he or she needs a lesson to be rescheduled. Other exceptional cases can only be allowed upon discussion with the school authority.

No collision with another lesson

The rescheduled lesson should not collide on the time of another student and it should be set within the working hours of the school

Time frame

According to the schools policy, a reschedule can only be done in a week and the class rescheduled must be attended in the same week of rescheduling.

The teacher must be aware

The Front Desk Administrator is expected to communicate with the responsible teacher and remind him/ her about the rescheduled lesson. The Front Desk Administrator should always remind the teacher on when the lesson was rescheduled

NOTE

If it is a teacher who has rescheduled the lesson, he/she should always keep in touch with the Front Desk Administrator so as to confirm his/ her lesson with the student. This reduces on the inconveniences that may be caused to the student, that’s if the teacher couldn’t communicate yet he/she can’t still make it on that day.

Procedure

Prior communication

The student must communicate that he or she won’t be able to make it for the lesson on a particular day.

Date must be entered in the system

The scheduled lesson should be entered into the system on the date it was scheduled to.

It is the responsibility of the Front Desk Administrator to inform the corresponding teacher about the rescheduled lesson, when it is and the reason for the rescheduling of the lesson. The Front Desk Administrator should first inquire with the teacher responsible before rescheduling that lesson so as to find out whether the teacher is comfortable with the reset date. This reduces on the inconveniences that may be caused to the teacher.

NOTE

It’s however very important to note that a student cannot reschedule the same lesson for more than two times, therefore the tendency of students missing rescheduled lessons with the hope of rescheduling the same lesson over and over again is not entertained here.

Policy on Issuance of Certificates
This policy is intended to guide on how and when to issue out certificates

Terms and conditions

Course completion

For a student to be issued with a certificate, he or she must have completed the course.

Full marks

The student must have full marks for all the terms in order to qualify for a certificate

Passed papers

The student must have passed all the papers in that course. In case of any failed paper, the student must retake that paper and pass it in order to qualify for the certificate.

Graduation

The student must graduate in order to be issued with a certificate.

NOTE

Students should however note that in case they want to get jobs before graduation, they can always obtain testimonials from the school.

Procedure

Checking the system

The officer in charge should check the system to ensure that the student completed his course, has all the marks, that he or she passed all the papers, and cleared all the graduation requirements

Issuing out of certificates

The officer in charge will issue out a certificate to a student who has satisfied the above terms and conditions

Policy on retakes and recess program
This policy is intended to give guidelines on how to handle issues of Retakes and recess issues in the school.

RETAKES

If a student wishes to re sit for a failed paper, and the student is sure that he or she understood all the lessons(topics) taught, then the student will be given a period of one week to practice and revise for the failed paper.

The student will be required to pay a fee of 30,000 shillings for the each failed paper that he or she wishes to retake.

RECESS

This will be in cases where students wish to retake the failed papers but they did not understand some topics in class.

Period

A period of two weeks will be granted to the students to attend lessons. The purpose of this period is to give chance to students to understand the topics that they had not understood.

Lessons

Lessons are conducted twice a week such that students are given enough time for revision and practice.

Payments

Piano, Guitar or Vocal students will pay a fee of 60,000 shillings

Production, Sound Engineering, Djing or video production will pay a fee of 160,000 shillings

NOTE

Recess lessons will be conducted in a group. Therefore all students will study in a group regardless of whether they are private students or group.

Procedure

Registration

Students who wish to re-sit for the failed papers through the recess program must register their names and the papers to be retaken.

Time table

The time table will be drawn by the front desk officer. And it will be communicated to the students

Exams

The students will be informed about the day and the date of the exam

Policy on National Exam
This policy is intended to give guidelines on how to handle national exams in the school.

Terms and conditions

Payment

Students who wish to sit for the national exam must pay a fee of 90,000 shillings only.

Frequency

The national exam is done once after the completion of the whole course.

Optional

The national exam is optional. Therefore students who wish to get national certificates should sit for the national exam.

Procedures

Make payments

Students who wish to sit for the national exam should express their interest by paying the national exam fee

Sit for the Exam

The student will then be allowed to sit for the national Exam.

Lesson Policy
This policy is intended to inform all teachers that they must uphold the professional values of ESOM as they conduct lessons at the School.

TEACHER’S CONDITION

  1. A teacher is expected to have a sober mind, a healthy body and a pleasant appearance.
  2. The teacher must make sure that he abstains from the ingestion or contact with any intoxicating substances that may affect their mental stability and behavior. For example; alcohol, drugs, marijuana, cocaine and all other substances in that category. Any teacher who reports for lessons under the influence of these substances will be suspended for that particular day. If the offence is repeated, the teacher will be indefinitely suspended, followed by termination of employment if habit persists.
  3. If a teacher is unhealthy in any way, for example; after contracting an illness, a cold or any body and mind weakening abnormality; he will be excused from conducting any lessons with the students upon notification of management. However, if the weakness is bearable, the teacher will be given a work load that he can bear.
  4. All teachers are expected to dress decently in shirts and trousers and shoes in a well organized look. Any dress code that is offensive to staff or students will not be allowed in ESOM. The teacher that is dressed inappropriately will be sent back to correct their dress code.
  5. A teacher must not express any frustration, anger or disappointment to a student. The use of harsh words and degrading vocabulary is not permitted in ESOM. Any teacher who is found guilty of this behavior will be suspended and thereafter dismissed if behavior persists.

CLASS CONDITION

  1. Teachers are required to assess the condition of the class or the space where the lesson is going to be conducted.
  2. A teacher must make sure that there is enough furniture and instruments to facilitate the lesson.
  3. The instruments must be properly connected to power if necessary before the class begins. This will help both the students and the teachers to save time.

TEACHING PROGRAM

All teachers must on a daily basis know or have their teaching programs. This program is to be obtained from the Front Desk administrator. The program for the next day is obtained by the teacher at the end of the day when the teacher reports for duty.

Every teacher must possess a diary where the teaching program is written and must be submitted to the FDA at the end of every day and collected the following day.

Failure to follow and accomplish the teaching program will result in disciplinary action.

TIME

  1. All teachers must respect the time for lessons as they are scheduled or as they happen.
  2. A teacher must arrive a few minutes before the lesson time in order to prepare the class and the lesson.
  3. A teacher will be allowed to arrive at most 10 minutes past the time of the lesson after informing administration by telephone about the anticipated delay 10 minutes before the lesson time.
  4. A teacher must utilize all the time allocated to a particular lesson but should not exceed it, and when reminded to end the lesson, they must do so immediately.
  5. Failure to respect class time will result into disciplinary action by Administration.

LESSON PLANNING

Lesson planning is a must and should follow the standards that are set.

  1. A teacher must make a lesson plan for the next lessons in student’s books. Lesson plans are not to be made a few minutes before the lesson.
  2. Lesson plans must follow the course outlines as they were designed for the particular courses. Teachers are not allowed to randomly pick topics to teach their students. Any teacher found doing this will be severely warned and suspended upon persistent behavior.
  3. A teacher must follow and respect the lesson programs that are written down in the student’s book. All assessments, tests and revisions are to be carried out within the program that was written in the student’s book. No adjustments are to be made by the teachers in these books.

A teacher is not allowed to conduct a lesson without picking the student’s book from the administration.

No teacher will receive a wage for that particular lesson conducted contrary to the set standards.

LESSON SCHEDULING

Teachers are not allowed to make lesson programs with students in person, over the telephone, social media or any other form of communication channel. Teachers must direct students to the Front desk administrator to schedule their lessons.

A teacher who schedules and conducts a class for a student without notifying the Front desk administrator will have to conduct the class and will not receive the teacher’s wage for that particular class.

CLASS TIME

  1. Teachers must not receive or make phone calls while teaching.
  2. Teachers must not loiter in class rooms while another teacher is conducting a lesson.
  3. Teachers must not teach a student without authorization from the Administration (front desk administrator). No remuneration will be made for that lesson.

SOCIALIZING

Teachers must not socialize with students before or after the lesson unless they are conducting their conversations on academic issues, for example any assistance with a particular question or enquiry in music.

Any teacher who engages students in any social activities while at school will be warned or suspended depending on the gravity of the offence.

Policy on fighting in school
The purpose of this policy is to give guidelines on how to handle cases of fighting among students in school.

Terms and conditions

Fighting is prohibited

Fighting is not allowed in school and it is therefore punishable if caught doing so in school.

Payment for any damaged property

The students will be required to pay for any property damaged during the course of fighting

Suspension

Students caught in the act of fighting will be suspended for two weeks from school to act as the first and last warning and the lessons will be counted missed.

Expulsion

Students who will be caught fighting after they have been warned against doing so will be expelled from school for good.

No refund

Students who are suspended or expelled from school are not entitled to claim for any refund of their tuition.

Procedure

Suspension letter

Students caught in the act of fight for the first time will be given a suspension letter which states the period for the suspension and the date of reporting back to school.

Sign a commitment letter

After the suspension period, the students are expected to report back with their parents or guardians. And they are expected to sign a commitment letter promising never to fight again in the presence of their parents or guardians and administrators

Expulsion letter

Students, who are found fighting after being warned never to do it again, will be given an expulsion letter expelling them from school for good.
